Closing the week: a Monday checklist for fleet spend

A short routine to review last week's card spend, clear open items, and start the new week clean.

Close last week before starting this one

Loose ends from last week turn into month-end cleanup. A short Monday review keeps card spend current: what is unmatched, what is flagged, and what needs a rule change. Do it at the same time each week so it stays small.

Start with unmatched charges

Pull up last week's card charges that have no receipt. Text each driver in their thread for the missing photo while the stop is still recent. It is a lot easier to get now than at month end.

The Monday checklist

  • Chase last week's missing receipts
  • Close or note every open exception flag
  • Review last week's declined transactions
  • Confirm new drivers and trucks have cards

Clear open flags

Work through last week's exception flags, oldest first. Close each one with a note on what you found, even when the answer was simple. Those notes save time when the same truck flags again.

Check declines and limits

Look at what the card controls declined last week. A legitimate stop getting blocked means a rule needs loosening. A string of odd merchant attempts may mean one needs tightening. Adjust per driver or truck, not across the whole fleet.
