Building a fuel tax packet from card data

Miles and gallons by state from the card and the truck. You still file. The packet just shows up sooner.

What goes into the packet

A fuel tax return comes down to two numbers per state: miles driven and gallons bought. Spartan Stack pulls gallons from fleet card transactions and miles from the truck's mileage data, then lays them out by state for the quarter. You review it and file it. We do not file for you.

Gallons come from the card

Every fuel purchase on a fleet card carries a location and a gallon count. When the receipt photo is matched to the charge, the backup for that purchase sits in the same place. Fills paid some other way still have to be added, so keep those rare.

Check these before you file

  • Every state with miles has gallons, or a reason
  • Unmatched fuel charges are resolved
  • Off-card fuel purchases are added
  • Mileage gaps by truck are filled

Miles come from the truck

State miles come from the mileage data the truck already records. Gaps happen when a unit goes offline or a truck swaps in mid-quarter. The packet shows those gaps so you can fix them before filing, not after an audit letter.

Why sooner matters

When the packet builds from data you already cleaned during the quarter, filing week is review, not reconstruction. You still check the numbers and submit the return yourself. You just start from a draft instead of a blank spreadsheet.

Put this into practice

Start filing week with a draft
