Limits that match how trucks run

Card controls let you set merchant, category, and daily limits per driver or per truck. Set them too loose and they do nothing. Set them too tight and a driver is stuck at a pump at 2 a.m. calling dispatch. The goal is rules that block the obvious and allow the normal.

Start with categories

Fuel stations and truck stops cover most legitimate spend. Allow those, and decline categories that never belong on a fuel card. That removes a lot of noise before anyone reviews a single transaction.

Rules worth setting first

  • Fuel and truck stop categories allowed
  • A daily limit sized to the tank, not the week
  • Per-truck limits that fit the lanes each truck runs
  • A clear way to raise a limit fast

Leave room for layovers

Drivers on long runs need a shower, a meal, or a spot to park. If your rules decline those, drivers either pay out of pocket or stop trusting the card. Allow the truck stop category and cap it with a daily limit instead of blocking it.

Adjust from real declines

Every decline tells you something. If the same legitimate stop keeps getting blocked, loosen that rule. If nothing is ever declined, the limit may be too loose to matter. Review declines weekly at first, then as needed.
