Shared cards hide who spent what

When several drivers share a card, every charge needs a follow-up question: who was that? Giving each driver their own card answers it before anyone asks. Spend is attributable from the swipe, and limits can fit the person using the card.

One card, one driver

Assign each card to a single driver, or to a truck when that fits how you dispatch. Set merchant, category, and daily limits on that card. When a driver leaves, you shut off one card instead of reissuing cards to the whole yard.

Setup, in order

  • Issue one card per driver or truck
  • Set limits on each card
  • Give each driver the number to text receipts to
  • Have them send a test photo before the first run

One thread per receipt

Each driver texts receipt photos from their own phone, so the photo is already tied to the right person. Spartan Stack matches it to the charge on that driver's card. Nobody has to guess whose ticket is whose in a group chat.

Matched before the next shift

With the card and the thread both tied to the driver, most receipts can match the same day. Anything missing gets a text before the next shift, while the stop is still fresh. That keeps the week's cleanup small.
