Fleet spend control for owner-operator networks

The problem on the road

Every truck is its own business

A network of owner-operators shares a lot, but not a wallet. Spend has to stay attributable to the right truck from swipe to settlement.

01

Settlement deductions

Fuel and card spend come out of settlements, so every deduction needs a receipt behind it.

02

Per-truck cards

Each truck needs its own card and limits, not a shared account that blurs who bought what.

03

Keeping receipts separate

One owner-operator’s receipts can’t end up in another’s file.

04

Different habits, same deadline

Every owner-operator runs their business their own way, but the network still needs records on time.

How Spartan Stack fits

Four pillars, set up per truck

The same product for every fleet, configured so each owner-operator’s spend stays with their truck.

01

Card controls

A card per truck, each with its own merchant, category and daily limits.

02

Receipts in the thread

Each owner-operator sends receipts in their own SMS or WhatsApp thread, so photos stay with the right truck.

03

Exception review

Over-limit, gallons-vs-miles and missing-receipt prompts are reviewed truck by truck before settlement.

04

Fuel tax packets

Miles and gallons by state are pulled into a packet, ready to review and file.

The workflow

From the pump to the packet

Five steps, most of them automatic. Owner-operators do one thing: send the photo.

Step 1

Card swipe

The owner-operator fuels on their truck’s card, limits already set.

Step 2

Receipt photo in thread

A photo of the ticket goes into their SMS or WhatsApp thread.

Step 3

Auto-match

The receipt is matched to that card’s transaction.

Step 4

Exception review

Gallons-vs-miles, over-limit and missing-receipt flags get a second look.

Step 5

Fuel tax packet

Miles and gallons by state feed a packet ready to file.

Questions

Short answers for owner-operator networks

Anything else, the pricing page lays out plans and what each one includes.

Can each owner-operator have their own card?

Yes. Cards can be issued per truck, with merchant, category and daily limits that fit how that truck runs.

Will receipts from different trucks get mixed up?

No. Receipts arrive in each owner-operator’s own thread and are matched to that truck’s card transactions.

Does Spartan Stack calculate settlements?

No. It gives you matched transactions and receipts to work from. Settlement stays in your existing process.

Who files fuel tax?

Whoever holds the filing obligation. Spartan Stack assembles the packet of miles and gallons by state. It does not file.
